How to track which clients still owe a signature

Waiting on a signature shouldn’t mean refreshing your inbox every hour. Treat it like any other task in a pipeline.

A three-column board

Notion, Trello, a spreadsheet — whatever you’ll actually open:

  1. Sent — doc out, waiting
  2. Nudged — one polite follow-up sent
  3. Signed / filed — PDF in 03-signed

Each card: Client · Doc name · Date sent · Link to e-sign or email · Next nudge date.

Nudge cadence (productivity, not pressure)

  • Day 3: short “checking in — link below”
  • Day 7: offer to resend or hop on a quick call
  • Day 14: ask if priorities changed; pause the project if needed

Friday sweep

Once a week, scan the Sent and Nudged columns. Update dates. File anything that came in. Ten minutes, done.
